Getting Started with Learnly

Welcome to Learnly, a platform built to make learning simple, effective, and genuinely enjoyable. Whether you're managing a team, building courses, or starting your own learning journey, this guide walks you through everything you need to know to get up and running.

Step 1: Log In and Explore Your Dashboard

Once you log in, you'll land on the 'Learnly Dashboard', your command centre.

At a glance, you'll see:

  • Total Users — how many people are in your organisation, broken down by teams
  • Total Courses — active courses and how many have been completed
  • Certificates Issued — credentials earned across your organisation
  • Average Progress — overall learner progress across all courses
  • Quiz Performance — pass rates and attempt data
  • Activity Trends — a daily active users graph for the last 30 days
  • Course Performance — enrollment funnels and top-performing courses

The dashboard also switches between three views, 'Admin', 'Manager', and 'Learner', so each role sees exactly what's relevant to them.

Step 2: Get Familiar With the Navigation

Everything in Learnly lives in the left navigation bar. Here's a quick map:

Training Studio Create courses, assessments, learning plans, competencies, and trainings

Step 3: Set Up Your Organisation

Before inviting learners, get your organisation's structure in place.

Invite your team - Go to 'People' → 'Teams' and click 'Invite Member'. Enter up to 10 email addresses at once, assign a role, and optionally assign them to a team. Roles available: Learner, Author, Team Manager, Reports Admin, and Org Admin.

Create teams - Go to 'People' → 'Teams' and click 'Create'. Name your team, add a description, and start adding members. Organise by department, cohort, or any structure that fits your organisation.

Set up roles and permissions - Go to 'People' → 'Roles'. Three system roles come built in: Learner, Team Manager, and Org Admin. Need something more specific? Create a custom role and define exactly which permissions apply.

Step 4: Build Your First Course

Head to 'Training Studio' → 'Courses' and click 'Create Course'.

Learnly's 'AI course builder' makes this fast: describe what your learners need to know, set the duration and skill level, and the platform generates a course structure for you. From there:

  • Add 'chapters and lessons' in the curriculum builder
  • Attach content, assessments, and assignments
  • Set 'Quick Actions', Flashcards, Notes, Goals, and daily lesson targets to keep learners on track

Step 5: Create an Assessment

Go to 'Training Studio' → 'Assessments' and click 'Create New Assessment'.

Choose from four assessment types:

  • Standard — traditional quizzes and exams
  • Coding — programming challenges for technical teams
  • Psychometric — personality and aptitude evaluations
  • Adaptive — multi-stage tests that adjust based on learner responses

Configure the time limit, passing score, and scoring mode. Toggle on randomised questions and answers to maintain integrity. Publish when ready.

Step 6: Enroll Learners

Go to 'People' → 'Enrollments' and click 'Add Enrollment'.

Select the user or team, choose the course or assessment, and confirm. That's it. Learners will see their assigned content the next time they log in.

For larger groups, assign directly to a team; everyone in that team gets enrolled at once.

Step 7: Set Up Engagement and Motivation

Keep learners motivated beyond just completing content.

Certificates - Go to 'People' → 'Engagement' → 'Certificates'. Create a certificate template, standard design, or custom canvas. Set it to auto-issue when a course or assessment is completed, or issue manually when needed.

Badges and Points - Go to 'People' → 'Engagement' → 'Gamification'. Create badges with a name, emoji, and points threshold; they unlock automatically when a learner hits the target. Configure point rules to define how learners earn points across different activities.

Leaderboard - The leaderboard updates automatically, ranking the top 10 performers by points, driving healthy competition across your organisation.

Step 8: Set Up Automations

Go to 'Automations' → 'Journeys' and click 'New Journey'.

Choose a trigger:

  • User Joins Team — perfect for onboarding
  • User Joins Organisation — organisation-wide welcome workflows
  • Course Completed — trigger next steps automatically
  • Manual Trigger — for campaigns and one-off workflows

Once a journey is live, everything runs automatically: enrollments, reminders, and follow-ups, without any manual work.

For recurring reports, go to 'Automations' → 'Reports Automation'. Configure the report type, recipients, schedule, and delivery method. It runs on its own from that point forward.

Step 9: Track Progress and Performance

Go to 'Analytics → Reports' for a full view of how learning is going across your organisation.

Key things you can track:

  • Active learners and new joiners
  • Average weekly study time
  • Course completion and on-track rates
  • Assessment pass rates and score distributions
  • Learner-level skill development via the Skill Map
  • Compliance status via Audit Logs, exportable to CSV

Filter everything by date range, team, course, or individual user.

Step 10: Configure Global Settings

Go to 'Global Settings' to make Learnly work the way your organisation does.

Key areas to set up early:

  • Branding — add your logo and colour scheme so learners see your brand
  • Domains — configure a custom subdomain or hostname
  • Email Templates — customise all automated emails to match your tone
  • SSO — connect your identity provider via SAML 2.0 or OIDC for single sign-on
  • User Registration — control how new users sign up and what fields they fill in
  • Integrations — connect Learnly to your existing tools and workflows
  • Webhooks — trigger real-time notifications to external systems on key events
  • Seats — manage and monitor seat allocation across your plan
