How to Build an Automation Journey

User Journeys in Learnly let you automate repetitive learning tasks, such as enrolling new users in courses, sending welcome emails, delivering notifications, and adding delays between actions. Instead of managing these tasks manually, you can create a workflow that runs automatically whenever a selected trigger occurs.

This guide walks you through creating a complete onboarding journey.

Step 1: Navigate to User Journeys

From the menu, under 'Automations', click 'Journeys'. Select 'New Journey' in the upper-right corner.

Step 2: Create a New Journey

Enter a 'Journey Name', add a short 'Description', select the 'Trigger' that starts the automation (for example, User Joins Team), choose the appropriate 'Team', and click 'Create Journey'.

Step 3: Add Your First Step

After the journey is created, you'll be taken to the workflow builder. Click the '+' icon below the 'Entrance' node to add steps.

Step 4: Enroll Users in a Course

To automatically assign training, choose 'Enroll in Course' as the 'Step Type', enter a 'Step Name', select the course you want learners to be enrolled in, and finally click 'Add Step'.

This ensures that every learner who meets the trigger conditions is automatically enrolled in the selected course.

Step 5: Add a Wait Step

You can delay the next action in the workflow.

Click the '+' icon below the previous step, select 'Wait' as the 'Step Type', enter the 'Duration', and click 'Add Step'.

Step 6: Send a Welcome Email

Add another step, select 'Email', enter the 'Email Subject', and compose your 'Message' using the text editor.

Finally, Click 'Add Step'.

Step 7: Send a Push Notification

Add another step, select 'Push Notification', type the notification message, and click 'Add Step'.

Push notifications are ideal for reminders, announcements, or prompting learners to continue their training.

Step 8: Activate the Journey

After building your workflow, review all the configured steps. Click 'Activate Journey'.

Once activated, the workflow begins running automatically whenever the configured trigger is met.

Step 9: Test the Journey

To verify that your automation works correctly, open the active journey and click 'Run for me'.

This allows you to test the workflow and confirm that each step executes as expected before relying on it for users.

Step 10: Manage Existing Journeys

Return to Automations → Journeys to manage your workflows.

From the journey list, you can:

  • Edit an existing journey.

  • Pause/Resume a journey.

  • Archive a journey.

  • Delete a journey when it is no longer needed.

You can also filter journeys by status (such as Active or Draft) using the status dropdown.

When building a Journey, you can choose from several step types to automate user onboarding, communication, enrollments, and workflow decisions. The following actions are available:
