How to Create and Manage Reports Automation

Reports Automation helps you automatically deliver scheduled reports to the right audience without manual effort. You can create rule-based report automations, choose the report type, define recipients, configure schedules, set optional threshold triggers, and deliver reports through email or in-app notifications.

This feature is ideal for keeping managers, administrators, and stakeholders informed about learner progress, compliance, engagement, and organizational performance.

Create a Report Automation

Step 1: Open Reports Automation

From the left navigation menu, go to 'Automations' > 'Reports Automation', then click '+ Create Automation'.

Step 2: Configure the Report Type

Enter the 'Automation Name' and 'Description'. Select the 'Report Type' you want to generate, and click 'Next'.

Step 3: Configure Recipients

Choose who should receive the report.

Enable 'Per-Team Routing' if each team manager should receive reports only for their own team, and click 'Next'.

When disabled, organization managers receive the complete report.

Step 4: Configure the Schedule

Select when the report should run.

Configure 'Frequency', 'Time', and 'Completion Rate'. Then click 'Next'.

These optional triggers help reduce unnecessary reports and notify recipients only when attention is required.

Step 5: Choose Delivery Channels

Select one or more delivery methods.

Select the 'Delivery Channels' and click 'Create Automation'.

PDF attachments are automatically included with email delivery and cannot be disabled.

Manage Existing Report Automations

After creating an automation, it appears on the Reports Automation page.

You can manage an automation using the action icons.

Best Practices

  • Use descriptive automation names so reports are easy to identify.

  • Schedule reports during business hours for maximum visibility.

  • Enable Per-Team Routing when managers should only receive reports for their own teams.

  • Configure threshold triggers to reduce report noise and highlight important performance changes.

  • Choose both Email and In-App Notifications to maximize report visibility.

You have successfully created a report automation. Automated reports ensure that the right stakeholders receive timely learning insights without manual intervention, helping teams monitor performance, improve learner engagement, and stay on top of compliance and organizational goals.
