How to Integrate Microsoft Teams with Learnly

Integrate Microsoft Teams with Learnly to send learning notifications directly to your organization's Teams channels. Once connected, you can deliver course updates, assignment notifications, reminders, certificate alerts, and other learning-related messages to keep learners and managers informed.

This guide explains how to configure the Microsoft Teams integration using your Microsoft Azure application credentials.

Step 1: Register an Application

Sign in to the 'Microsoft Azure' portal and select 'App registrations'.

Step 2: Create a New App Registration

Click 'New registration'.

Step 3: Register Your Application

Enter a name for your application (for example, Learnly Integration). Choose who can use the application and click 'Register'.

Step 4: Copy the Application IDs

On the application's Overview page, locate the 'Application (Client) ID' and 'Directory (Tenant) ID'. Copy both values.

You'll use these later when configuring the Microsoft Teams integration in Learnly.

Step 5: Create a Client Secret

In your app registration, under 'Manage', select 'Certificates & secrets', then click 'New client secret'.

Step 6: Generate the Client Secret

Enter a 'Description', choose an expiration period, and click 'Add'.

Step 7: Copy the Client Secret

Copy the generated 'Client Secret' immediately.

Microsoft displays the client secret. Store it securely before leaving the page.

Step 8: Configure API Permissions

Open 'API permissions' and click 'Add a permission'.

Step 9: Select Microsoft Graph

Select 'Microsoft Graph'.

Step 10: Grant Required Permissions

Add the 'Microsoft Graph' permissions required for your organization. If prompted, click 'Grant admin consent' to approve the requested permissions.

 The permissions required may vary depending on the notifications and Teams features your organization uses.

Step 11: Open Integrations

Sign in to Learnly as an administrator. Navigate to 'Global Settings' and select 'Integrations'.

Step 12: Open Microsoft Teams

Open 'Microsoft Teams'.

Step 13: Enter Azure Credentials

Fill in the following fields:

  • Tenant ID – Paste the Directory (Tenant) ID copied from Azure.

  • Application (Client) ID – Paste the Application (Client) ID.

  • Client Secret – Paste the client secret generated earlier.

Step 14: Enable Notifications

Turn on 'Enable Notifications' if you want learning events to be sent to Microsoft Teams.

Step 15: Connect to Microsoft Teams

Click 'Update Connection'.

Step 16: Verify the Connection

If the credentials are valid, the integration status changes to 'Connected', indicating that Microsoft Teams is successfully configured.

Notifications Section

Step 17: Select Notification Events

After the integration is connected, open the 'Notifications' tab to choose which learning events should be sent to Microsoft Teams.

Depending on your organization's configuration, you can enable notifications for:

• Course enrollment confirmations

• Course completion notifications

• Assessment invitations

• Assessment results

• Assignment reminders

• Due date reminders

• Certificate issuance

• Learning plan updates

• General learning announcements

Enable only the notifications that are relevant to your users.

Troubleshooting

Connection fails

  • Verify that the Tenant ID is correct.

  • Confirm the Application (Client) ID belongs to the correct Azure App Registration.

  • Make sure the Client Secret has not expired.

  • Ensure your Azure application has the required Microsoft Graph permissions.

Notifications are not received

  • Confirm Enable Notifications is turned on.

  • Verify the Microsoft Teams integration status is Connected.

  • Check that the required notification types are enabled.

  • Ensure users have access to the appropriate Microsoft Teams workspace.

Client Secret no longer works

If the client secret expires:

  1. Create a new client secret in Azure.

  2. Update the Client Secret in Learnly with the newly generated value.
  3. Click Update Connection.

You've successfully integrated Microsoft Teams with Learnly. Once connected, you can send learning notifications directly to Microsoft Teams, helping learners and managers stay informed about course progress, assignments, certificates, and other important learning events.
